Refund & Cancellation Policy
At Coffeebloom Estate we take great care to prepare your stay and ensure a seamless experience from the moment your booking is confirmed. Every reservation involves coordination, resource planning and blocking of rooms exclusively for you. Therefore our refund and cancellation policy has been structured to protect the integrity of our operations while maintaining fairness to our guests. All bookings made directly through our website, by email, phone, or through authorized partners are governed by the terms below. By confirming your booking, you agree to these conditions.
1. Reservation Confirmation
Your reservation will be confirmed only upon full or partial advance payment as specified during the booking process. Once payment is received, a confirmation email or message will be sent to you. Unpaid or partially paid bookings will be automatically released without prior notice.
2. Cancellation by Guest
Since each booking reserves exclusive dates and space, cancellations directly affect our ability to offer rooms to other guests. Hence, the following cancellation charges may apply :
- More than 14 days before check-in: 75% of the total booking amount will be refunded.
- 7–14 days before check-in: 50% of the total booking amount will be refunded.
- Less than 7 days before check-in or No Show : No refund will be provided.
3. Date Changes / Rescheduling
Guests may request a date change only once and must notify us at least 10 days before check-in. Any rescheduling is subject to room availability and current pricing. If the tariff for the new dates is higher, the guest must pay the difference. No refund will be provided if the new tariff is lower. Rescheduled bookings are considered final and cannot later be cancelled for refund.
4. Early Check-Out / Late Check-In
No refund or adjustment will be made for shortened stays or delayed arrivals. The full booking amount remains applicable, as the estate operates on a limited occupancy model and each booking blocks exclusive access to the property.
5. Cancellation by Coffee Bloom Estate
In rare cases where we must cancel a confirmed booking due to unavoidable circumstances such as maintenance, government orders, or safety concerns, guests will be offered :
- A full refund or
- An option to reschedule to available dates of equal value.
Coffee Bloom Estate shall not be held responsible for any consequential loss, travel cost, or inconvenience caused by such cancellations.
6. Force Majeure / Unforeseen Events
No refund or compensation will be made for cancellations arising from situations beyond our control, including but not limited to natural disasters, pandemics, transport strikes, lockdowns, or government-imposed travel restrictions. In such cases, a credit note or date change may be considered at the discretion of management.
7. Refund Process & Conditions
All approved refunds are processed within 10–14 business days. However, the credited amount may take longer depending on your bank or payment provider. Please note the payment gateway charges, taxes, and transaction fees are non-refundable under any circumstances.
8. No-Show Policy
Failure to check in on the confirmed date without prior written notice will be treated as a "No Show", and the entire booking amount will be forfeited.
9. Special Promotions & Non-Refundable Offers
Bookings made under special promotional rates, last-minute deals, or discounted offers are strictly non-refundable and non-modifiable once confirmed.
